HOW TO BOOK THE ACCOMMODATION
A variety of hotels from luxurious to economy categories and student hostels will be available for participants of the XXVIth GA IAU.
How to reserve the room
Participants are advised to make reservation through the Conference Secretariat at reduced rates. To book a hotel room it is necessary to complete the On-line Accommodation Form (will be available November/December 2005) and submit it to the Conference Secretariat before June 1, 2006. Second and third choices should be indicated.
One night deposit for each room will be required with any reservation request - based on the hotel preference (first choice), no accommodation can be confirmed without it.
Deadline
Rooms will be allocated on a first-come first-served basis. In case the hotels of your choice are full, the Conference Secretariat reserves the right to accommodate you in a hotel of similar category. Hotel Accommodation Forms received after June 1, 2006 will be accepted though the reservation cannot be guaranteed.
Confirmation of hotel reservation
Upon receipt of the on-line booking request and one night deposit, Conference Secretariat will send to the delegate "Confirmation of the Hotel Reservation" with the name of the allotted hotel, exact address, type of room, term of stay, price per night and total price. An important part will be also the payment and cancellation conditions which will be applied for the respective hotel reservation.
Payment conditions in general
5* and 4* hotels
only one night deposit will be required in advance to guarantee the booking, the difference will be covered directly at the hotel upon departure. Additional deposit might be required in case of stay for more than 5 nights. Hotel will require credit card as a guarantee at check-in
Lower category hotels including 3* category and hostels
full prepayment will be required in advance to guarantee the booking. Upon receipt of the full prepayment the Conference Secretariat will issue the Hotel Voucher and send it to the delegate. This Voucher is to be presented at the reception of the respective hotel upon arrival
Terms of payment
Payment for accommodation must be settled in EUR by:
Credit Cards
Mastercard/Eurocard, VISA, Diners Club and American Express credit cards are accepted. Please enter your credit card number, expiry date and cardholder´s name in the appropriate space on the Accommodation Form. Do not forget to enter also the CVC2 (MasterCard/EuroCard) or CVV2 (VISA) code which is printed on the reverse side of your credit card at the signature panel (last three digits). Please fill in the billing address (American Express only).

Please note that all bank charges must be fully covered by the participant.
A copy of the bank transfer must be sent by fax or e-mail to Conference Secretariat.
Cancellation, refund & changes
The Conference Secretariat must be notified in writing on any changes or cancellation of a hotel booking. Please do not contact the hotel directly in case of any reservation changes or cancellation. The following cancellation conditions will be applied:
- Cancellation before and on 1 July 2006
- full refund less ~EUR 30 administration fee - Cancellation after 1 July 2006 and no show
- no refund
In case of No Show the room is kept for you until 12:00 hours of the day following after the day of expected arrival. Afterwards the room is offered as freely available. The Conference Secretariat reserves the right to charge a handling fee of ~EUR 10 for any change in confirmed reservation. Mentioned conditions are valid only for individual bookings (up to 5 rooms in total). In case you are interested in making a hotel reservation for your group (more than 5 rooms in total), please contact the Conference Secretariat.
Any refunds will be processed only after the Conference.
